How to add a printer to a Mac

Short answer

Connect the printer to the same Wi-Fi as the Mac, open System Settings, click Printers & Scanners, click Add Printer, Scanner or Fax, select the printer in the list and click Add.

Most current printers support AirPrint, which means the Mac can use them without installing any software from the manufacturer.

Step by step

  1. Get the printer onto your network

    Use the printer's own display to join the same Wi-Fi as the Mac, or plug it into the Mac with a USB cable.

  2. Open System Settings and click Printers & Scanners

    It is near the bottom of the list on the left.

  3. Click Add Printer, Scanner or Fax

    A window lists the printers the Mac can find.

  4. Select your printer

    In the Use menu, AirPrint is the usual choice.

  5. Click Add

    The printer appears in the list and in the Print dialog of every app.

Good to know

If the printer is not listed, check that it is on the same Wi-Fi network and not on a guest network, then restart the printer and the router.

For an older printer without AirPrint, click the Use menu and choose Select Software, or download the driver from the maker's website.

To print to a PDF without a printer, choose File, Print in any app and click the PDF button.
